iQar Technologies, Inc. (“iQar”, “we”, “us”, or “our”) is committed to protecting your personal information. This Privacy Policy explains what data we collect, how we use it, and the choices you have in connection with the iQar platform and related services (the “Service”).

Account and Contact Information

When you register, we collect your name, email address, phone number, company name, job title, and billing details.

Fleet and Operational Data

Through IoT sensors and the platform, we collect vehicle identifiers, GPS coordinates, engine hours, motor oil consumption volumes, oil grade and specifications, service intervals, and related fleet telemetry.

Usage Data

We automatically collect log data such as IP addresses, browser type, pages visited, features used, timestamps, and session duration when you interact with the Service.

Device and Hardware Data

iQar IoT dispensing and tracking units transmit sensor readings, firmware version, connectivity status, and diagnostic data to our servers.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service;
  • Generate oil consumption forecasts, maintenance alerts, and fleet health reports;
  • Process payments and manage your subscription;
  • Send transactional communications (invoices, alerts, support responses);
  • Send product updates and marketing communications where you have opted in;
  • Monitor, detect, and prevent fraud, abuse, and security incidents;
  • Comply with legal obligations;
  • Improve the Service using aggregated and anonymized analytics.

3. Legal Basis for Processing (EEA / UK)

If you are located in the European Economic Area or the United Kingdom, we process your personal data under the following legal bases:

  • Contract performance — to deliver the Service you have subscribed to;
  • Legitimate interests — to improve our products, prevent fraud, and communicate about the Service;
  • Consent — for optional marketing communications and non-essential cookies;
  • Legal obligation — to comply with applicable laws and regulations.

4. Sharing of Information

We do not sell your personal data. We may share your information with:

  • Service providers — cloud hosting, payment processing, analytics, and customer support vendors who process data on our behalf under data processing agreements;

5. Data Retention

We retain personal data for as long as your account is active or as needed to provide the Service. Fleet telemetry and operational data are retained for up to 5 years to support historical analytics and audit requirements. Upon account closure, we will delete or anonymize your personal data within 90 days, unless we are required by law to retain it longer.

6. Data Security

We implement industry-standard technical and organizational measures to protect your data, including TLS encryption in transit, AES-256 encryption at rest, role-based access controls, and regular security audits. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security.

7. International Data Transfers

Your data may be transferred to and processed in countries other than your own. Where we transfer personal data from the EEA or UK, we rely on Standard Contractual Clauses approved by the European Commission or equivalent safeguards.

Depending on your jurisdiction, you may have the right to:

  • Request deletion of your personal data;
